Thank you for booking with CWJ GAMING ENTERTAINMENT  If we need to adjust your request for travel time or conflicts, we will contact you right away.

DEPOSIT:

Deposits to hold date and time are required upon receipt of this email. Deposit required will be upon service/s selected.

(example: $25.00)

Deposit are non-refundable.

Once booking has been made by you the customer, we will automatically send you an event confirmation to the email used during initial booking. If not in your inbox please check your spam or junk folder.

If and when rescheduling takes place, deposit will become a credit and can be used to rebook up to 90 days. Deposits/ Credits cannot be given to a friend, neighbor or relative to initiate a new booking. In the case you do not want to rebook, your credit becomes forfeited. All communications will be conducted via email.

Remaining balance must be paid 48 hours prior to event unless other arrangements have been made, In the case payment is not made, event has not been post-poned or cancelled by calling 478(461-1987) or in person at location 3164 Houston Ave Macon, Ga 31206

BIRTHDAY PARTIES:

After you confirm your booking and pay your balance or required deposit, we will continue to communicate with you in the case of bad weather, parking, arrival etc.

 

ONLINE PARTIES:

Fortnite is available for your party in our CWJ GAMING ENTERTAINMENT ! Fortnite and other online games require direct, wired connection to your router/modem using our Ethernet cable. Cable is approximately 150 feet long and is able to reach from on-street parking in most cases.

You are responsible for making sure your router/modem is accessible before we arrive. Connectivity is based on the speed of your internet connection. It is recommended that you do not stream video (ie., Netflix) in your home during the party.

This service is guaranteed as long as customer provides access to router/modem with activated services from their current provider (ie., Comcast, Service Electric, Verizon). We cannot guarantee service if no connection is provided or if Data plan does not meet gaming requirements.

 

CHURCH, SCHOOL, NON-PROFIT AND CITY EVENTS:

After you set your booking and pay your balance, let us know if you would like promotional materials, W-9 or Liability Insurance documents emailed or if you need our staff to fill out any vendor information.

 

CAPACITY:

Our gaming theater on wheels can accommodate 6-8 guest comfortably on either gametruck.

• Add a Service ( i.e. outdoor Laser Tag)

 

 

NUMBER OF GAMERS:

Services are set up to maximize guest experience while complying with required state guidelines. This will allow for some social distancing in and out of the gaming theater. While enjoying yourself in a clean safe environment. Total gamer count is 16 at a time for a comfortable gaming experience. More gamers give us a call (TBD).

TOTAL GAMER LIMIT is 16.

Adults gaming and handling controllers ARE included in the gamer count.

 

AGE LIMIT:

Per our existing rules, children aged 5 must be accompanied and supervised by an adult at all times while in the theater.

This would increase the total number of gamers in the theater which is what we are trying to avoid.

 

SUPERVISED CHILDREN:

 does NOT require a parent or responsible adult to be present inside or just outside of the trailer at all times. Guests 16 and over require a parent or guardian to be on property and within contact of the game coach should a need to contact them arise.

 

EXTRA STAFF:

Our amazing theater is set up to bring the best in entertainment. Your event will have 1 or 2 coaches depending on scheduled events on that day. In the case that a 2nd or 3rd coach is needed; please notify us via email. This request will be noted on account and extra staff will be added. ($15.00 per hour per additional staff)

TIPS:

The Game Coach is there to make sure that your group is making the most of our high-tech fun. He/She tutors, inspires and entertains. Tipping for good service is a great idea.

 

TRAVEL SURCHARGE:

CWJ GAMING ENTERTAINMENT for party services most of Bibb county, Houston county, Butts county, Wilkerson county,  and the Alanta area with our video game parties.

We only service area:   We only services to area that have available parking for a larger size of vehicle and parking trailer.

Our primary area falls within 30 minutes to 1 hour of travel time from Macon,Ga

In case time needs to be adjusted due to travel conflicts, we will contact you immediately via email, text and call to notify you of such changes.

 

BAD WEATHER:

CWJ GAIMNG ENTERTAINMENT  was designed for all types of weather conditions. The theater is insulated and climate controlled with heat and air conditioning. In the event of severe weather (lightning, very high winds, flooding and/or extremely heavy rains, snow or ice) we reserve the right to reschedule your service to guarantee the safety of you, your guests, our staff and equipment. If you're aware of a pending weather event that may threaten your party, please contact us to begin the rescheduling process. Road conditions play a big part in our service. As long as it is safe to drive our equipment will be there. The decision on travel safety is made solely by the owners or their designee.

Roads and Driveways must be clear of snow and ice with plowed roads allowing us to park on the roadway while still allowing for the safe passage of traffic. If the driveway or street parking is not accessible, our staff have the right to refuse service at the time of the event. Large snow falls will require the end of the driveway to be widened to allow our theater to access the driveway.

 

GOVERNMENT SHUTDOWN:

In the case that the Government demands that all businesses close due to terrorist attack, Containment of Viruses and Illnesses, war, etc. We will communicate with the customer, reschedule if need be for the safety of your guest, our staff and equipment. Deposits are non refundable but please have some dates in mind in order for us to assist you with finding a suitable date and time for your event. In the case customer decides to cancel; cancellation fee will apply. Customer has 30 days to reschedule. We appreciate your patience during these hard times and remember that your safety is our number one priority!

 

COVID-19: NOT MANDATED/IN EFFECT AT THIS TIME

We are currently not mandated or restricted at this time

Due to the Coronavirus Pandemic, SGT will issue new rules and regulations until further notice to ensure the safety of our gamers and employees.

We are operating and following the mandated guidelines for business re-opening. We do not ask for guest to wear mask outside the truck only when entering for the safety of all during enclosed spaces.

CWJ GAMING ENTERTAINMENT will follow the rules and guidelines issued by our Administrators.

NON-CONTACT TEMPERATURE CHECKS:

CWJ GAMING ENTERTAINMENT has purchased a non-contact temporal thermometer. Any person in the vicinity of the gaming theater is required to have a non-contact temperature check by an SGT Gaming coach.

 

PREVENTATIVE MAINTENANCE:

Trucks and other equipment are cleaned and disinfected during and after every event. While equipment is in use we wipe down remotes in between participant use. Seats, Remotes and anything touched gets disinfected in order to be proactive avoiding any cross contamination between guest inside the theater. Hand sanitizer is provided and face mask are to be worn inside the trailer at all times until further notice by our Government officials.

 

ALCOHOL/DRUGS:

You may serve alcohol at your event; however, we reserve the right to refuse, cancel or cut short any party or booking when having to deal with "aggressive guest". Drugs of any sort will not be tolerated in or around the CWJ GAMING ENTERTAINMENT equipment. Any observed use of illegal narcotics or legal narcotics used in an illegal manner will result in the termination of the party immediately. Our Job is to entertain in a safe and respectful manner and tolerating such behaviors can impact the safe and well being of your guest.

 

DAMAGE/INJURY:

CWJ GAMING ENTERTAINMENT or any of its employees will not be responsible for any damage to property resulting from a request by the client to position the theater in a specific location. This includes both above ground and below ground property/equipment damage. Additionally, CWJ GAMING ENTERTAINMENT, reserves the right to charge the client's for damages to the trailer, truck or equipment resulting from the careless or willful damage of same by client's guests. CWJ GAMING ENTAERTAINMENT or its employees assume no responsibility for any injuries sustained on the clients property or their designated location. All liability for damages or injuries is the sole responsibility of the client and/or host. NO EXCEPTIONS

 

BROKEN EQUIPMENT DURING YOUR EVENT:

All of CWJ GAMING ENTERTAINMENT equipment is either new and/or well taken care of. Anyone caught on camera or visually will be removed from the trailer and the parent/guardian/Organizer will be held responsible for the cost of a replacement. NO EXCEPTIONS

Please be aware that in the case we are asked to park our trailers in drive ways. We will NOT be held responsible for the driveway melting away due to 90 degree weather and our tires digging in blacktop. We will not be pulling in to drive way if we deem your driveway to not be wide enough or a large amount of trees around entrance that will scrape our trailer wrap or cause damage to our equipment.

 

EXTERIOR TELEVISIONS:

Super Game Trailer exterior TV's are used on a seasonal basis. Those moths are from April - Oct closing and weatherizing exterior tv's in order to prevent damage.

 

EVENT HEALTH RISK :

In consideration to health risk of injury and state HIPAA Laws while participating in CWJ GAMING ENTERTAINMENT  Events, and as a consideration for the right to participate in the Activity, the customer hereby, for themselves, their heirs, executors, administrators, assigns or personal representatives or Invitees knowingly and voluntarily enter into this waiver and release of liability and hereby waive any and all rights, claims or causes of action of any kind whatsoever arising out of my participation or my Invitees in this Activity, and do hereby release and forever discharge CWJ GAMING ENTERTAINMENT from any liability.

 

FOOD/DRINK:

CWJ ENTERTAINMENT does not allow any food or drinks into the video game theater. Please have your guests consume them outside of the trailer prior to entering.

 

PICTURES:

While your party is in effect the Game Coach will be taking pictures of the party from inside the trailer. You will then be able to view these pictures on CWJ ENTERTAINMENT Facebook Fan Page and copy them to your files. If you do not want our Game Coach taking these pictures or posting them on the Fan Page please notify us via Email prior to the party. This is a service we provide to our guests so they can be sure to capture their party as it happens.

 

OUR TRUCK/TRAILER:

When the truck pulls up, we will try to park in the most level & flat area or logical spot to accommodate your party. Sometimes, we park in your neighborhood street, so you might want to let your neighbors know (in case they may object) or let us know if you have a preferred spot for us. We might also have to block a driveway. **Please keep in mind that our Game Coach will not park anywhere that may cause a danger to persons, property or equipment. Our driver has the last say on whether it is safe or not to park at specified location by customer. Our truck and trailer combination is very long and we will need a minimum of 55 feet of space to park. Additionally our Game Coach will never disconnect the truck from the trailer at a party/event without prior approval nor park off of a hardened surface**.

VIDEO GAME RATINGS:

CWJ ENTERTAINMENT will not play "M" rated game in the theater without a written request via email or on the note section during time of booking. This request must be made by the Organizer as we recommend that Organizers/Clients email us with any special game requests.

We currently use Wix for our scheduling and Billing.
For security reasons, wix does not store credit card numbers itself, not even in encrypted format.
Credit card numbers are stored by the payment gateway. Once stored on the gateway, it is not possible to retrieve the full card number.
In any case, both Wix and the payment gateway are certified PCI DSS compliant.

 

PARKING:

Our trucks are 53-60 feet long (combined length) by 8'6" wide and approximately 11' high. Street parking is preferred.

We will need ample space to park at your location and it is your responsibility to ensure we can get into and out of your location. When a booking is submitted we do our best to survey your area using Google Maps or Google Earth. Our Game Coaches are experienced drivers but will not place the equipment or someone else's property in jeopardy. They will try to work with you as much as possible but the driver has the final say. If we arrive to your location and cannot safely park we will treat the party as a no show unless other arrangements can be made. Unfortunately, in most situations, we cannot extend the time we are on location while traveling to the new location. CWJ ENTERTAINMENT personnel will not make special trips to ensure we can park at your location unless it is in our immediate area. Please make sure to let us know of any low bridges or traffic construction in your area. We will not pull into driveway if it has an incline. Please be aware that in the case we are asked to park our trailers in drive ways. We will NOT be held responsible for the driveway melting away due to 90 degree weather and our tires digging in blacktop. We will not be pulling in to drive way if we deem your driveway to not be wide enough or a large amount of trees around entrance that will scrape our trailer wrap or cause damage to our equipment.

 

 PAYMENT OPTIONS:

All payments made to CWJ ENTERTAINMENT are done on-line via our secure gateway or at location 3164 Houston Ave Macon, Ga 31206

 

 

GIFT VOUCHERS:

Gift Vouchers can be purchased on line to give a party as a gift to a friend or a loved one. Gift Vouchers cannot be exchanged for a refund and must be used within 1 year of issuance. The vouchers do not cover additional travel fees which may be incurred for locations outside of our primary service area. If you are unsure if the person you are buying the voucher for is within our primary service area, please send us an email (cwjparties@gmail.com) with their address and we will let you know. Parties scheduled with vouchers may cancel their parties up to 15 days in advance and still maintain a valid voucher. Parties not canceled within 15 days will not be refunded. We will always reschedule to another available time without penalty up to 15 days in advance.
